Crew Scheduling

Ask for availability without accidentally booking the crew.

Flightcase keeps availability requests, roles, rates, staffing needs, confirmed calls, show files, and crew updates close to the production record.

Availability is not a booking

A maybe should not look like a confirmed call.

Crew coordinators often need to test several dates before the client has committed. A spreadsheet or group text makes it easy to confuse interest, availability, and a real assignment.

Flightcase keeps those states separate. You can ask who is free, see the staffing need, then confirm the call when the job is ready.

Current crew workflows include

  • Roster records with roles and separate rates.
  • General availability requests for a date window.
  • Available, unavailable, and mixed responses by date.
  • Staffing needs with filled and open role counts.
  • Confirmed calls, crew-facing show context, files, and updates.

Questions buyers ask

Does Flightcase run payroll?
No. Flightcase stores crew roles and rates and coordinates availability, assignments, calls, files, and communication. It does not replace payroll, HR, travel booking, or onboarding compliance software.
Can a crew member respond without back-office access?
Yes. Secure response links and Crew Quarters give crew a limited path to respond and view permitted event information.
Can crew see internal production notes?
Not by default. Internal, crew, and client visibility are separate controls so a file or update can be shared deliberately.
Is Flightcase suitable for large staffing agencies?
Teams that need timekeeping to payroll, travel, compliance documents, or very large freelancer operations should also evaluate a workforce specialist such as LASSO.
