Start from current approved demand

A pull sheet is only trustworthy when it reflects the current project scope. If the quote changes, the pull plan must change. Static exports become risky when the office, production, and warehouse teams update different copies.

Organize the pull the way the floor works

  • Group by department, category, package, or case.
  • Show quantities and serialized-unit requirements clearly.
  • Separate owned equipment from subrental coverage.
  • Expose shortages, substitutions, and unresolved decisions.
  • Keep notes attached to the relevant item or show context.

Use prep status to manage exceptions

Warehouse readiness is not simply pulled or not pulled. Useful states include waiting on a decision, short, substituted, staged, checked, loaded, or blocked for repair.

The team should be able to focus on exceptions without rereading every completed line.

Verify checkout and return deliberately

Use scanning or structured quantity checks based on the value and identity risk of the equipment. Record what actually left, not only what was planned.

On return, route missing, damaged, or incomplete items into follow-up before the project is considered operationally closed.

Measure preparation quality

  • Shortages discovered before the scheduled pull date.
  • Substitutions made after the truck was expected to load.
  • Items checked out but not returned on time.
  • Return issues waiting for owner or repair action.
  • Projects reopened because the operational closeout was incomplete.

FAQ

Should pull sheets be printable?
Yes, when paper helps on the floor, but the printed sheet should come from a live source that can also track changes and operational status.
What should happen when an item is short?
The shortage should remain tied to the show and item, with a clear decision path for substitution, subrental, scope change, or client follow-up.
